Upper School Administrative Assistant

Westminster Christian Academy is currently seeking an Upper School Administrative Assistant to provide administrative and clerical support to the Head of Academic Development (HoAD), the Head of Student Development (HoSD), and the Director of Academic Operations.  This is a full-time, 12-month position with 4 weeks of vacation.

  • Qualifications
    • High school diploma or equivalent.
    • Three or more years of experience in an administrative role.
    • Excellent administrative skills with strong verbal and written communication abilities.
    • Must be well organized and detail oriented with good multi-tasking abilities.
    • Proficiency in Word, Excel, and Google applications strongly preferred.
  • Responsibilities
    • Provide administrative support and work on special projects/assigned tasks for the Head of Academic Development (HoAD), the Head of Student Development (HoSD), and the Director of Academic Operations.
    • Monitor substitute teacher email account and find subs both in advance and last minute for both Middle and Upper School.
    • Prepare Upper School substitute teacher materials the day prior, if possible, and ensure the sub is presented with a class roster, announcements and an ID badge, and shown promptly to the classroom upon arrival.
    • Update and maintain the substitute teacher log and submit to payroll for issuance of payment.
    • Field parent inquires/questions both in the Upper School office and via phone, and direct calls accordingly.
    • Assist with the facilitation of various school events, including faculty orientation, faculty meetings, in-service days, parent/teacher conferences, etc.
    • Maintain Upper School student files and prepare and distribute transcript requests.
    • Monitor In School Suspension (ISS) by ensuring the students’ have an adequate amount of work for the day, escorting them to the restroom, and facilitating their lunch period.
    • Maintain and update the Upper School test and substitute teacher calendars.
    • Assign all students’ locker locks accordingly and collect them at the end of the year.
    • Manage the ordering and distribution of office supplies for the faculty and Upper School office.
